COURSE DESCRIPTION: This course covers basic alphabetic filing rules that are adapted from the standards published by the Association of Records Managers and Administrators. Emphasis is placed on the development of knowledge and skill in filing and managing records, including principles of alphabetic, geographic, subject, and numeric filing systems. Students will apply the alphabetic indexing rules to a computer records database after achieving an understanding of manual filing. Also included is the study of advancements and changes in office technology and the resultant effect on the management of office records.

OBJECTIVES: As a result of this course, students should be able to:

  1. Become proficient with the alphabetic indexing rules for storing records based on the Association of Records Managers and administrators simplified filing rules.
  2. Knowledge of equipment, supplies, and methods used for storing paper records in addition to procedures relating to cross references, requisitions, charge-outs, and follow-up systems.
  3. Become proficient with alphabetic, subject, numeric, and geographic storage and retrieval.
  4. Apply the alphabetic indexing rules to a computer database.
  5. Know procedures for controlling a records management program.
  6. Manage and control all phases of the records life cycle.

PREREQUISITES: None

HOURS OF INSTRUCTION: Five 50-minute periods per week.

METHOD OF INSTRUCTION: Instruction will be by lecture, discussion methods during class periods, and computer simulations.

BASIS OF EVALUATION: The student's achievement will be evaluated through the use of examinations, practice sets, computer applications and classroom participation. Each nine (9) absences will result in the grade being lowered one level. NO MAKE UP TESTS. Students must take the final examination or receive a grade of Incomplete.

GRADING: Attendance 10%, Midterm 15%, Final 15%, Finding and Chapter Tests 30%, Assigned Exercises 30%.

TEXTBOOKS:Records Management, 6th Edition by Smith and Kallaus, South-Western Educational Publishing, ISBN #0-538-71713-8, and Records Management Projects, by Smith, 6th Edition, South-Western Educational Publishing.

COURSE CONTENT: Instruction will be by lecture and discussion methods during the class periods. Students will learn the five methods of filing and procedures consistent with those published by the Association of Records Managers and Administrators. Practice filing simulations as included in the practice set will be required, with students learning manual filing systems and computer records database, as well as a study of technology advancements including computerized filing processes, and management aspects of records control, including organization of a records program, development of effective operating procedures and controls and evaluation of records storage practice.
